Top Notch Roofing is a fast-growing, values-driven roofing company based in British Columbia. We are seeking a Senior Executive Assistant to the CEO who operates as a true execution partner, not a traditional admin.
This role exists to extend the effectiveness, clarity, and capacity of the Owner/CEO--professionally and personally. You will protect priorities, reduce mental load, enforce follow-through, and help transform ideas and decisions into consistent action.

What You'll Do
Protect CEO Time, Focus & Priorities
Own and manage the CEO's calendar end-to-end (business + personal)
Align time blocks with top priorities and strategic goals
Prepare agendas, context, and desired outcomes for meetings
Capture decisions, commitments, and next actions
Flag overload, misalignment, or priority drift, and recommend adjustments
Ensure Accountability & Follow-Through
Track leadership commitments, owners, and deadlines
Maintain a simple, visible accountability system
Prompt follow-ups at the right time to maintain momentum
Surface risks or missed commitments early and neutrally
Manage Communication & Signal Filtering
Triage email, text, and messaging platforms (including Whats App)
Filter noise vs. signal and elevate only what requires CEO attention
Draft responses and queue communications for approval
Ensure nothing important slips through the cracks
Support Personal Effectiveness & Wellness
Protect personal time, boundaries, and recovery windows
Track wellness routines and flag drift
Coordinate business and personal travel
Support family scheduling and intentional personal time
Support Strategic Execution
Track quarterly and annual company goals
Support leadership meetings and planning sessions
Maintain momentum on initiatives that tend to stall
Assist with cross-department coordination as needed
What We're Looking For
3+ years supporting senior executives or founders in high-accountability environments
Proficient English level (B2+)
Proven experience managing complex calendars and executive priorities
Strong written and verbal communication skills
High discretion, professionalism, and emotional intelligence
Exceptionally organized with strong follow-through
Comfortable operating independently and making judgment calls
Experience with EOS, OKRs, or leadership scorecards is a strong asset
Tech-savvy (Google Workspace, task systems, CRM, or project tools)
What We Offer
$8 - $15 CAD per hour, based on experience and capability
