The Job
You will be responsible for :
- Oversee a pipeline of 150+ active transaction files, ensuring each file progresses smoothly from start to close.
- Track deadlines, required documentation, and client communications for each transaction, proactively managing any potential delays.
- Responsible for opening all transaction files and creating new listings for properties as they come on the market.
- Build detailed property listings, ensuring accuracy and consistency across all information presented to clients and prospects.
- Generating and updating property listings on the multiple real estate websites
- Create and Manage Escrow Accounts
- Orchestrate Inspections: Schedule and attend inspections, making sure that everything runs seamlessly.
- Oversee Repairs: Monitor timelines and budgets, keeping projects on track.
- Facilitating communication between everyone involved so everyone is aware of the projects progress
- Ensuring that contractors are adhering to compliance standards.
- Check the completion of the necessary documents by their respective deadlines
- Facilitating the closing process of the listing
- Planning the post-close follow-up appointments and check-ins
- Retrieving testimonials and reviews from both buyers and sellers to promote the business overseeing all administrative matters related to a real estate transactions.
- Build Client Relationships: Schedule follow-ups, collect testimonials, and maintain client connections.
- Assist the real estate agents, their clients and all relevant parties complete the paperwork.
- Making sure that all required documents, including assessments, loans, and appraisals, are properly signed.
- Scheduling inspections, repairs and assessments for all necessary codes and ordinances to be met
- Coordinating communications between sellers and buyers to facilitate quick and convenient transactions
- Recording and documenting client information into a customer management system and ensuring the submission of the right documents to the right channels.
The Profile
What We’re Looking For?
- Experience: 2-5 years as a Transaction Coordinator, ideally in real estate.
- Education: Bachelor’s in Business or related field preferred.
- High Capacity: Skilled in managing 80+ transactions in a pipeline.
- Exceptional Communication Skills: Fluent in English, written and spoken.
- Self-Starter: Thrive in a fast-paced, target-driven environment.
- Eager to Grow: You welcome feedback and strive for continuous improvement.
- Weekend Availability: Ready to work weekends when needed.
